Synchronize Outlook
Synchronization in both directions
timum synchronizes in both directions with Microsoft 365 / Outlook:
- Outlook → timum: Your Outlook appointments are entered in timum as blockers. During this time you are not bookable.
- timum → Outlook: Bookings from timum appear in your Outlook calendar.
Setup
- Open your Personal Settings.
- In the Connected Calendar Accounts section you will find the Microsoft 365 tile. Click Connect with Microsoft.
- Sign in with your Microsoft account and grant the required permissions.
- The connection belongs to your user account. From now on you can use it in every provider calendar where you are a team member and have the necessary permissions:
- When creating a new property, choose Import from Outlook. Each selected Outlook calendar becomes its own property.
- Or connect an existing property to one of your Outlook calendars: open the property's settings and click Connect calendar in the bar at the top of the dialog.
Alternatively, start the connection in the provider calendar under Settings → Integrations → Microsoft 365 / Outlook calendar integration → Link account.
What timum imports from Outlook
- Appointments marked as "Busy", "Tentative", "Out of Office" or "Working Elsewhere" are imported as blockers. Only appointments marked as "Free" don't block any time.
- All-day appointments are imported as well, unless they are marked as "Free".
- timum reads your calendar from yesterday up to about twelve weeks into the future. Appointments further out are imported as soon as they move into this window.
- Recurring appointments are created as individual blockers; exceptions and individual cancellations within the series are taken into account.
- Meetings cancelled by the organizer disappear from timum immediately – you don't need to delete the cancellation in Outlook first.
- If you delete an appointment in Outlook, the blocker disappears from timum.
- Changes usually reach timum within a few seconds; in addition, timum regularly reconciles the entire period so that nothing gets lost.
Create availabilities directly in Outlook
Enter an appointment in Outlook, set it to "Free" and give it the category "timum timeslot". timum turns it into a bookable appointment.
What timum writes to Outlook
Every booking appears in your Outlook calendar with the participant details and a link to the appointment in timum.
Important for onOffice users
Appointment participants should not also be synchronized to Outlook via onOffice, otherwise Outlook will send participant details to everyone involved. For how to switch this off, see Important appointment sync setting onOffice to Outlook.
Disconnecting
The connection belongs to your user account; each connected Outlook calendar is assigned to a property. If you disconnect it, timum removes the imported blockers. Appointments already booked remain intact.
