New developments with a reference property per apartment type
For new developments with many similar apartments, it isn't worth making every single apartment bookable in timum. Instead, you set up one reference apartment per apartment type (e.g. 1-room, 2-room) as a bookable property. All prospects interested in this apartment type book their viewing on this reference property.
Option 1 – Standard email template (onOffice) for all viewings
- In onOffice: select a 1-room apartment and set this property as the appointment reference property for this apartment type, e.g. as "Vienna22_1-Zi-timum". Ideally, mark the property this way in onOffice as well.
- In onOffice, on this reference property, open the "Appointments" tab and activate the property in timum.
- In the timum calendar view for this property, click the gear icon ⚙️ in the top left to open the settings.
- At the very bottom of the property settings dialog, you'll find the reference number, e.g.
12345@web98765@kccfw5-f6hk-lkf8-lsafjow9@onofficeEstate. Click the copy icon next to it to copy the reference. - In onOffice, open the email templates in the folder oO-Marketplacevorlage and copy the template timum – Terminkoordination für Immobilien. Name the copy after the apartment type, e.g. "timum Besichtigung 1-Zimmer".
- In the template's link snippet, replace the macro
_Idtogether with the suffix@web_MdtID@onofficeEstatewith the copied reference number. The link will then always lead to the reference property, regardless of which apartment the template is sent from. The personalization viapDataId=_AdrDatensatznummer&pDataPlatform=onofficestays unchanged (see Generating Booking Links in onOffice and on Websites). - Repeat these steps for every other apartment type with its own reference apartment and its own template.
Tip
Set up the viewing appointments as bookable group appointments with a participant limit (see Creating Bookable Appointments). This way, several prospects for the same apartment type can view it in a single appointment without knowing about each other.
